Open Doors English (ODE) is seeking a part-time administrative assistant. The administrative assistant supports the daily operations of ODE and assists the co-directors. This position encompasses a wide variety of duties that are both community-facing and behind-the-scenes. This role can flex to meet the unique talents and experience of the candidate. This position is 25 hours per week, with potential to grow to 30 hours.
ODE is an English language school for adults, serving immigrants, refugees, temporary residents, and other English language learners.
Primary Duties and Responsibilities:
Maintain student and donor records in Airtable database, including data entry
Process and manage tuition payments and donations using Little Green Light and Google Sheets
Manage Airtable structure, automations, and semester transitions
Serve as a receptionist and provide information to students, teachers, volunteers, and community members
Assist in preparing financial summaries and budget-related documents
Maintain open and clear communication with ODE Co-Directors and colleagues
Secondary Responsibilities
Assist with event planning
Create and coordinate social media, including photographing school activities and events
Support in creation of newsletters, appeals, and other program communications
Assist in writing grants, applying for sponsorships, and fundraising
Assist in student recruitment and marketing efforts
Assist in recruitment and coordination of program volunteers
Other duties as assigned by co-directors
Skills and Qualifications:
Experience working in an office setting
Good attention to detail
Experience working with databases and systems or willingness to learn
Flexibility and willingness to adapt to shifting organizational needs and priorities
Experience learning another language and/or living in another culture
